One of the easiest transportation planning mistakes is looking only at driving time.

A venue may be 20 minutes from a hotel, but that does not necessarily make each transportation run 20 minutes.


Your transportation schedule also needs to account for guests gathering, boarding, loading personal belongings, traveling, unloading, and returning for another group when necessary.

Building realistic buffers into the schedule helps protect your event timeline and creates a calmer experience for everyone involved.


Buffer for traffic flows and volume. Most transportation companies know about construction in the area, road closures, and when traffic flow is high. This is important when picking up guests and departing.
