How Many Wedding Shuttles Do You Need?

This is one of the most common questions we receive. There is no single answer because transportation requirements depend on your guest count, vehicle capacity, travel distance, venue requirements, and desired arrival window.

For many events, we recommend planning approximately one shuttle for every 20–25 guests being transported as an initial planning guideline. However, capacity is only one part of the equation.

For example, transporting 100 guests with fewer vehicles may technically be possible if multiple trips are scheduled. But if the venue requires everyone to arrive within a narrow window, additional vehicles may provide a much smoother experience.

Our team looks at the entire transportation flow before recommending the number of vehicles.

The goal isn't simply to fit everyone on a shuttle. The goal is to get everyone where they need to be at the right time, in the right vehicles.

Remember when researching transportation:

1. Motorcoaches can't go everywhere (even if some may think they can, or it's the cheaper option)

2. Is your company local to the area, or familiar? Knowing the roads and where you are going is key to arriving.
